Managing Your Sales Pipeline: A Complete Guide

Your sales pipeline is the visual representation of where every lead stands in your sales process. LeadLock AI gives you a drag-and-drop pipeline with AI lead scores, automatic follow-ups, and task management—so nothing falls through the cracks and your team always knows what to do next.

Pipeline stages

LeadLock AI comes with six default stages that map to a typical sales process. You move leads between stages by dragging them in the Pipeline view or by updating their status.

  • New — just captured, not yet contacted
  • Contacted — you've reached out (SMS, email, or call)
  • Qualified — the lead has a real need, budget, and timeline
  • Booked — meeting or demo is scheduled
  • Closed Won — deal is closed and revenue is counted
  • Lost — lead declined or went with a competitor

Moving leads through the pipeline

In the Pipeline view, drag a lead card from one stage to another. The status updates instantly in the database, the lead timeline logs the change, and any automations tied to that status fire automatically.

  1. Open CRM → Pipeline
  2. Find the lead card in its current stage
  3. Drag it to the new stage column
  4. The status updates, timeline logs it, and automations fire

AI lead scores on pipeline cards

Every pipeline card shows an AI score badge. Green (65+) means high intent, amber (35–64) means medium, gray (<35) means low. This helps your team prioritize at a glance—focus on the green leads first.

Team workflow
Each morning, scan the pipeline for high-scoring leads in 'Qualified' and 'Booked.' These are your hot opportunities. Make sure they have tasks or follow-ups scheduled.

Tasks and follow-ups

Every lead can have tasks with due dates and priorities. From the Tasks page or a lead's detail page, create tasks like 'Call back tomorrow at 10am' or 'Send proposal by Friday.' The task appears in the lead timeline and in your task list.

  • Create tasks from lead detail or Tasks page
  • Set due date and priority (low, medium, high)
  • Tasks linked to leads for full context
  • Follow-up dates on leads with overdue indicators

Quotes in the pipeline

When a lead reaches 'Qualified' or 'Booked,' create a quote from CRM → Quotes. Link it to the lead and the quote appears in their profile. When the quote is accepted, move the lead to 'Closed Won' and the revenue shows in your analytics.

  • Create quotes with line items, tax, and discounts
  • Link quotes to leads for full context
  • Track: draft → sent → accepted → revenue counted
